INSTAFAB Company is a Vancouver-based, employee-owned Steel Fabrication and Installation company. We supply and install hundreds of tons of structural steel every year, whether it is a high rise in the Pearl District, a new school at the coast, or the seismic upgrade of a historic building downtown. We are a strong and highly skilled group focused on teamwork and collaboration.

Primary Purpose of the Position

Supports the company by providing phone coverage, customer service, and clerical support. Collects and distributes documents to staff as needed. Manages office and janitorial supplies and purchases. Owns administrative duties and basic recordkeeping functions through physical and electronic filing system management. Maintains reception area in an organized and clean manner.

Essential Functions / Duties

The Front Office Attendant is greeting visitors, helps them navigate through our facility, and supplies them with refreshments as they wait. In addition, maintain calendars for appointments, sort mail, make copies, and plan travel arrangements. General office tasks and administrative duties, such as directing communications between colleagues and customers, organizing schedules and events, entering data, and maintaining office equipment. Some more specific functions include:

  • Customer Service—answering phones, screening telephone calls, updating personnel extensions as needed, and transferring calls to team members.
  • Maintaining Records—such as monthly mileage logs, vehicle tags, and permits.
  • Maintain the Company Calendar
  • Data Entry
  • Maintains a welcoming attitude
  • Restock office, break room, uniforms, and janitorial supplies as needed
  • Prepares outgoing mail and correspondence, including e-mail and faxes
  • Acts as an administrative assistant on management requests/projects


Requirements

  • Must be self-motivated and have the ability to work independently.
  • Must rely on experience and judgment to plan and accomplish goals.
  • Must have strong organizational, communication, and interpersonal skills.
  • Must be able to write routine reports and correspondence.
  • Must be able to speak effectively before customers or employees of the organization.
  • Basic computer skills needed.
